Best Practices

CUSTOMER shall have spare systems or plans to acquire replacements at any given time, willingness to accept the downtime associated with failure and agreements in place at all times with manufacturers of all software and hardware systems for repair, replacement and support. CUSTOMER shall limit the scope of ongoing technical support services only to covered workstations and servers that have active agent. CUSTOMER shall schedule appointments for Services frequently enough to accommodate routine system maintenance, installation and configuration of new hardware and software, printers, peripherals, end user training, administrative training as well as any Services needed that accrue between scheduled appointments whether remote or on-site in order to control costs and to avoid emergency surcharges. The following list of items should also help you control costs and reduce risks:

·         place servers on a 3 year refresh cycle so the manufacturer’s warranty covers the hardware

·         place workstations on a 5 year refresh cycle

·         keep a spare unit ready for use at any given time

·         only store data on servers that have backup plan and not on workstations

·         use wired connections since wireless connections are more prone to interference and not well suited for all applications such as data transfer

·         use those spare systems when failure occurs and do not wait on repair or replacement

·         maintain a minimum of 15% free space on all storage media to allow maintenance and patches

·         do not use browsing to find other devices on network

·         use only client/server network architecture where server controls all usernames, passwords, print queues and shares as opposed to peer to peer network architecture where no universal control exists

·         use network-connected printers instead of desktop printers connected with USB cable for multiple users to share

·         leave PCs on at night and on weekends when requested to do so in order for automated maintenance scripts to run and to keep machines in tune

·         manually run scripts from Neuse River Networks server if a PC misses scheduled monthly maintenance cycles by double clicking on agent icon and selecting functions from the Run Procedures list such as Deploy Live Connect, Install Ninite Applications (installs/updates 3rd party software aside from Windows and Office) and Workstation Maintenance (run at end of the day so maintenance has opportunity to run overnight)

·         standardize on software and hardware to minimize the number of disparate systems in use at any given time

·         regularly test all backup/restore/disaster recovery procedures on a periodic basis
